Things to do in Berlin during ECTRIMS 2018

The 34th European Committee for Treatment and Research in Multiple Sclerosis Congress takes place this October (10-13) in Berlin, Germany. We’ve put up a list with accommodation options you can choose from and also worked on this blog article with what you can do while in Berlin. Enjoy!

Spend a day at Museum Island

Situated on the Spree, the Museum Island is a UNESCO-listed World Heritage Site comprised of 5 of Berlin’s most important museums: the Altes Museum, Alte National Galerie, Neues Museum, Bode-Museum and the Pergamon Museum.

The first institution to open was the Altes Museum in 1830, designed by Karl Friedrich Schinkel who worked on several Neoclassical monuments around Berlin at that time. The Neues Museum is home to the Egyptian bust of Nefertiti. Opened in 1859, the museum was reopened in 2009 having been wrecked in the war.

The last was the Pergamon Forum from 1930. The spectacular Pergamonmuseum is one of the world’s major archaeological museums. You can see there a partial recreation of the Pergamon Altar (170–159 BC), the two-storey Roman Gate of Miletus (29 metres wide and almost 17 metres high) and the Ishtar Gate of Babylon, dating from the reign of King Nebuchadnezzar (605–563 BC).

Visit Berlin-Dahlem Botanical Garden and Botanical Museum

You might not know but the second largest botanical garden in the world (the first one being Kew Gardens in England) was first established as a kitchen garden in 1679. The Botanical Garden in Berlin the evolved from a kitchen garden growing vegetables to a huge place, and in 1879 the Royal Botanical Museum was founded.

The gardens are home to plants that are endangered in their natural habitats and threatened with extinction elsewhere in the world. Must see displays include the giant water lilies, carnivorous plant specimens, flowered vines, rock cliff waterfalls, timber bamboo reaching to the sky, and a carpet of ferns, orchids, and bromeliads.

The Botanical Garden spreads over 43 hectares and houses close to 22,000 plant species. You most likely won’t have time to see everything is one day. To make the most of your time, don’t miss the Great Pavillion, which is currently the largest glass house in the world.

Wine & dine at the Hall of Mirrors in Clärchens Ballhaus

Situated in the side wing of Clärchens Ballhaus, a dancing venue set up in 1913 in Wilhelmine Germany shortly before World War I, this mirrored ballroom still captures the spirit of those long gone days.

hall of mirrors

The place was reopened to the public in 2005, with the interior largely untouched and unchanged, offering guests a glimpse at the Golden Twenties in Berlin when it used to be a authentic dancing venue.

Nowadays the place hosts regular dining events, literary soirées and private events. Most Sunday evenings, you can attend jazz and classical chamber concerts taking place here.

How to Create the Ultimate Event Experience through Personalisation

There’s one thing you cannot overlook when discussing events and that’s personalisation. Whether you’re planning a local conference or an international congress, you need to leverage all accessible means to deliver a unique event experience for each and every attendee and that can only be achieved through personalisation on all levels. Here are some tactics and ideas to help you succeed:

Leverage technology

The evolution of technology has triggered immense progress in the way event organisers plan and unfold their events. Technology can now accurately predict the ideal experience for each attendee, based on what is known about them. Gartner predicts that, by 2020, ‘personalisation engines’ will empower businesses to increase their profits by up to 15%.

In the events industry, technology enables the use of different registration paths for different users, delivering personalised content, and running numerous sessions that meet the needs of different audiences.

What really powers personalisation from a technology perspective is data. Therefore, ensuring compliance of event registration systems, online surveys and event apps is mandatory for all event professionals. Learn more about GDPR and how to stay compliant.

Ask questions

Find out more about your attendees by asking them a few choice questions before the event. The answers can then be used to suggest the sessions, topics, speakers, and other events that would be meaningful for a particular attendee rather than just providing generic pieces of information. In a very simple scenario, knowing what their favourite colour is and creating a name badge to match turns the experience into a unique one. You can even go the long way and pick up the phone with a quick welcome call after registration.

Knowing your attendees will also help you with personalised post event content delivery and long term engagement. For example, you will be able to personalise event invitations based on past behaviour and past session selections.

Involve event attendees as much as possible

Technology coupled with tools such as social media and apps enables content live-sharing with attendees, as well as Q&A sessions and crowd-sourced content. These tools will also provide you with insight on the success of your events (the sessions that had the most attendees, which got the best feedback, etc). Based on demographic data, you will be able to suggest activities during the event (for example: join other Marketing Managers in the Marketing Lounge).

Through personalisation, you make sure that your events see the maximum impact while engaging your audiences.

5 Habits that will Boost the Productivity of Event Planners Out There

Habits make us who we are. Good habits are powerful enough to lead to success while bad ones will lead to failure. It’s hard to determine which habits to take on because people are different and work in different ways. However, there are some things that have turned out to be of use to a large number of people and those are what we’ll be focusing on in this blog post. Event planners out there need a helping hand and it might come from the habits that they’ve formed and that guide them every day.

paper-3139127_960_720

Here’s a list of 5 good habits for event organisers:

First things first. Prioritise & Delegate

This habit has to do with learning to prioritise and working on the most important things first. Multitasking is not the solution. Prioritisation is. Event organisers are busy people who have a lot on their plate every day and very limited time. To make things even more challenging, what they prioritise in the morning might change during the afternoon due to an unexpected crisis (ticket sales are down, metrics don’t look good, etc). Therefore, in order to be able to focus on the list with priorities, you need to delegate challenges to other departments – marketing for ticket sales, catering supplier for low results at customer satisfaction surveys and so on.

Take Breaks to Reflect and Relax

Did you know that being an event planner is among the top ten most stressful jobs? This should be enough of a reason for you to take regular breaks, exchange ideas with other people and relax. Plus, breaks boost creativity and prevent you from undergoing an information overload crisis that would impact your entire process of organising and getting things done.

Stay On Top of The Latest Trends

This habit has to do with allocating about 30 minutes to reading industry news and blogs every morning. That will put you one step ahead of the game, help you understand what the competitors are doing and give you ideas for future events. In this industry, the ones with the highest levels of creativity create unforgettable experiences. Reading and inspiring yourself from different sources will help you achieve just that.

Make use of the 80/20 rule

The 80/20 rule has to deal with the fact that 80% of our output comes from only 20% of our input. Otherwise put, if you learn to focus your energy into the meaningful tasks at hand, you will achieve more, faster and in an effective manner. Analyse your workload and determine what drives the biggest impact on your event’s success. Prioritize those tasks, start with what has the most impact and try not to dwell upon the small stuff for too long.

Create a Roadmap for the Whole Team

This has to do with everyone in your team knowing what they and the other members are working on so that less things catch them off guard. The roadmap should include key dates for everyone on your team with the purpose of reminding team members when they have a deadline coming up. To track the progress, recurring meetings should be set in place. You might also want to try using the Agile Scrum approach with daily standup meetings that don’t last longer than 10 minutes but give an overview of the entire team.

MICE Industry Forecasts for 2018 and Beyond

Happy New Year, everyone! We’re starting 2018 by taking a closer look at what the forecast is for the upcoming year and not only.

According to the “Global Meetings, Incentives, Conventions, and Exhibitions (MICE) Market 2017-2021” report, the global meetings, incentives, conventions, and exhibitions (MICE) market is expected to grow at a CAGR of 6.93% between 2017 and 2021.

Personalization of guest data appears to be the latest trend dominating the industry. In that sense, hotels are investing in innovative ideas and techniques to retain their market shares and delight their guests. Some hotels link their software with the social media profile of their guests so that when the latter book a room, everything is set to meet their expectations.

Other hotels look for VIP guests online, trying to understand what their preferences are. Luxury hotel chain Four Seasons stores information related to guests’ dietary, wine, and newspaper preferences for their next visit.

The extra attention paid by a hotel to provide guests with innovative and personalized services is what keeps guests coming back over and over again.

The report has also revealed that Digitalization of travel payments is one of the major drivers for the MICE market, providing it with an advantage through the growing digitalization in the majority of sectors globally. With the digitalization of payments, the booking and payment of travel plans have become easy for companies. Additionally, virtual payments enable guests to charge the stay and other expenses to the company without using a credit card, debit card, or internet banking. Since virtual payments cannot be misused, the threat of theft is highly reduced. The card number acts as a unique identifier for a transaction and can be used a limited number of times.

Other market trends found in the report are:

  • Acceptance of online travel agencies
  • Launch of low-cost airlines
  • Growing demand for leisure travel

According to the 2018 Global Meeting and Events Forecast from American Express Meetings & Events, the global events industry is expected to have optimistic growth prospects for 2018. The driver for this is increased competition in the supply chain for share of the market, consolidation by buyers and increased levels of investment.

In 2018, it is expected that the continued localization of meetings programs will be a key trend worldwide, as meeting professionals seek to add flexibility to offerings that address specific market needs and drive program adoption.

Furthermore, the report revealed that technology is expected to continue its transformation of meetings and events throughout  2018, particularly on the end-to-end management of delivery and attendee experience. A particular focus will be set on VR, AI mobile-app and hybrid-meeting solutions this year.

For North America, the report predicts that the amount of money spent is expected to rise, with increasing regional air fares and hotel rates. The key focus for meetings planners and owners will be prioritizing the attendee experience.

For Europe, the report explains that geopolitical uncertainty has led to country-specific variations in industry confidence. The UK, Belgium and the Netherlands express the most optimism across several indicators. Respondents in the UK and Poland anticipate an increased in the amount of money spent on meetings, while those in other European countries predict decreasing or flat activity in 2018. With the exception of the UK, European countries expect to spend less on attendees than the previous year.

In what concerns Asia-Pacific, Australia is expected to register important growth; the forecast predicts an increase in both the amount of money spent on meetings and the number of attendees.

In Central & South America, industry growth is expected to be modest across most categories. Although Mexico and Colombia are becoming increasingly popular, both face challenges with rising hotel rates and limited supply for large groups.
